Information provided by daycare center administrators:

• Center name, director name, email address, and phone number
• Staff member names and phone numbers (entered by the center director)
• Staff credential expiration dates

Information collected automatically:

• Login activity and session data
• Activity logs (actions taken within the platform)

We do not collect payment information, Social Security numbers, government ID numbers, or any sensitive personal information beyond what is listed above.

2. How We Use Your Information

We use the information we collect to:

• Deliver automated SMS reminders to staff members about upcoming credential expirations
• Notify center directors when staff credentials are approaching expiration
• Maintain an audit log of compliance activity within your account
• Provide customer support
• Improve the Service

3. SMS Messaging

Staff members receive SMS reminders because their employer (the daycare center director) enrolled them in the KinderFile platform. Message frequency varies based on credential expiration dates — typically 1 to 3 messages per credential per expiration cycle.

To opt out of SMS messages, reply STOP to any message you receive. You will receive no further messages. Reply HELP for assistance.

Message and data rates may apply depending on your mobile carrier plan.

4. How We Share Your Information

We do not sell, trade, or rent your personal information to third parties.

We share information only with:

• Twilio, Inc. — our SMS delivery provider, solely for the purpose of sending text message reminders
• Railway — our cloud hosting provider, which stores application data
• Law enforcement or regulators — only when required by law

5. Data Retention

We retain account data for as long as your account is active. If you cancel your account, we will delete your data within 30 days upon written request.

6. Security

We implement reasonable technical and organizational measures to protect your information, including encrypted data transmission (HTTPS) and password hashing. No method of transmission over the internet is 100% secure.

7. Children’s Privacy

KinderFile is a business-to-business platform used by daycare center operators. We do not knowingly collect information from children under 13.

8. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us at the address below. We will respond within 30 days.

9. Changes to This Policy

We may update this Privacy Policy periodically. We will notify account holders of material changes by email. Continued use of the Service after changes constitutes acceptance of the updated policy.
